How to Manage Payments

The Payments section allows you to track all incoming funds, view transaction details, and manage receipts for your business. Whether a payment was made against an invoice or via a standalone payment link, you can manage it all from a single dashboard.

1. Navigating to Payments

To view your transaction history:

  • Log in to your Cordlo account.

  • Select the specific Business you want to manage.

  • From the sidebar menu, click on Payments.

2. Viewing Payment Details

The Payments table provides an overview of all transactions:

  • Method: Shows how the payment was made (e.g., Bank Transfer, Online Payment, Cash).

  • Customer: Displays the name of the payer.

  • Source: Indicates the purpose of the payment (e.g., Invoice).

  • Amount: The total amount paid in the transaction currency.

  • Date: The date the payment was recorded.

To view or edit full details:

  1. Locate the payment in the table.

  2. Click the Action menu (three dots) and select View.

  3. In the Payment dialog, you can review and update fields such as the amount, payment date, method, reference number, and internal notes.

    • Note: If a payment is connected to an invoice, updating the payment will automatically update the status of that invoice.

    • Constraint: Payments created via a Payment Link may have restricted editing for certain fields like amount and date to maintain transaction integrity.

3. Managing Payment Receipts

You can easily view and share receipts with your customers:

  1. Click the Action menu for a specific payment and select Receipt.

  2. A preview of the receipt will appear.

  3. Choose one of the following actions:

    • Download Receipt: Saves a PDF version of the receipt to your device.

    • Send Receipt: Automatically emails the receipt to the customer’s email address.

4. How to Delete a Payment

If a payment was recorded in error:

  1. Select Delete from the Action menu of the payment record.

  2. A confirmation dialog will appear.

    • If the payment is linked to an invoice, the system will warn you that this action cannot be undone and will affect the invoice’s balance.

  3. Confirm the deletion to remove the record.

5. Searching and Filtering Payments

To quickly find specific transactions:

  • Search Bar: Use the search field at the top of the table to find payments by customer name or reference number.

  • Filters: Click the filter icon to narrow down results by:

    • Purpose: (e.g., Invoice)

    • Method: (e.g., Stripe, Paystack, Manual)

    • Currency: Filter by specific business currencies.

    • Status: (e.g., Paid, Pending)

    • Date Range: View payments made within a specific timeframe.

6. Refreshing Data

To ensure you are viewing the most recent transactions (especially after an online payment):

  • Click the Refresh icon at the top of the table to pull the latest data from the server.
